How to Extract Stock Categories from Other Accounting Software

When migrating to QNE AI Cloud Accounting, retaining your existing stock category structure is essential for consistency in item classification and reporting. Most accounting software systems allow export of stock or inventory lists, which can be refined to extract stock category data. These categories help organize your inventory in QNE and are useful for analysis, filtering, and reporting.

Scenario:

You are transitioning your business from either SQL Financial Accounting or UBS Accounting Software to QNE Software. Part of your migration involves extracting the stock categories set up in your current system. These categories need to be exported, reviewed, and formatted appropriately to align with QNE’s inventory structure. This process ensures that your inventory remains organized and that historical categorization is preserved.



Solution:

SQL Accounting 

1.  Navigate to the Stock or Inventory module within SQL Financial Accounting.


Alternatively, users may select Stock > Maintain Stock Group.


2. To export the file, right-click the Description > Grid Export > Export to Microsoft Excel


3. Choose the desired folder, then click Save once done.


4. Open the File and ensure that category names are clear and consistent.


5. Change the File type to CSV (Comma Delimited) (* .csv) using Excel.



UBS

1. Upon logging in to UBS, on the ribbon tab, click 1. Maintenance > 4. Miscellaneous Files > 1. Category Maintenance


2. On the Category Maintenance pop-up window, check if the details are correct before extracting, then click Print.


3. On the send to pop-up screen, click the Excel button.


4. On the Send to Excel pop-up screen, click the Send button.


5. Change the File type to CSV (Comma Delimited) (* .csv) using Excel.


Application: 

Users can now import the downloaded CSV files to QCA.
