Using Account Inquiry to Review GL Accounts in QNE

Overview:

The Account Inquiry feature in QNE AI Cloud Accounting offers a quick and efficient way to view transactions and balances for specific general ledger accounts. Whether you're reviewing expenses, verifying journal entries, or preparing for account reconciliation, this tool provides direct access to essential financial data—without the need to generate full reports.


Scenario:

A finance assistant is tasked with verifying all transactions recorded under the Utilities Expense account for the current quarter. Instead of generating a full general ledger report, the assistant uses the Account Inquiry feature in QNE Cloud AI Accounting to filter and review only the transactions specific to that account and period.


Procedure:

To review an account using Account Inquiry in QNE Cloud AI Accounting:

  1. Go to the Inquiry module and click Account Inquiry.
     
  2. In the Account field, select the ledger account you want to review, then specify the desired date range.
     
  3. Click Inquiry to display the transaction list for the selected account.
     
  4. Review the displayed details, which include:
    • Transaction Date
    • Document Code
    • Descriptions
    • Debit and Credit Amounts
    • Running Balance
       
  5. Click the Export to Excel icon to save the results for reporting or audit purposes.


Note: You can click on the Doc # link or the View link in the Actions column to view the source document and transaction details.


Application:

For example, a finance assistant verifying expenses may use Account Inquiry to focus only on transactions recorded under a specific GL account. By filtering the view:

  • They can quickly review all transactions related to that account for the specified period.
  • Eliminate unrelated data from the display, allowing them to focus solely on relevant entries.
  • Simplify the process of reconciling accounts and tracing discrepancies.
  • Ensure that financial reports reflect accurate, up-to-date account balances.

Using Account Inquiry enables users to work more efficiently, reduce the risk of reporting errors, and maintain clear visibility of financial data.
