Transfer a Quotation into a Sales Order in QNE AI Cloud

Overview:

In QNE AI Cloud, sales staff can quickly convert approved quotations into Sales Orders without retyping. This ensures pricing, discounts, and taxes carry over automatically, saving time and reducing errors.

 

Scenario:

You issued a quotation for a client, and they’ve agreed to proceed with the purchase. Instead of creating a new Sales Order manually, you can convert the quotation directly, ensuring accuracy and speeding up order fulfillment.

 

Procedure:

Follow these steps to transfer a Quotation into a Sales Order:

 

Step 1. Create a new Sales Order

  • Go to Sales Order > Add.
  • Select the Customer in the header.

  

Step 2. Open Transfer Option

  • On the top-right, click the Save & Send  drop-down.
  • Select Transfer from Quotation.
  • The Transfer from Quotation dialog appears.
     

 

Step 3. Select the Quotation(s) to transfer

  • Use the filters (Date range, Document #, or Customer) to locate the quotation.
  • Tick the Transfer toggle switch next to the Quotation you want to use.

  

Step 4. Confirm the Transfer

  • Click OK.
  • A confirmation message will appear: “Transfer sales doc to sales order success.”

     

      

Step 5. Review the Sales Order

  • The quotation’s details (items, descriptions, prices, discounts, and taxes) will automatically populate the Sales Order.
  • If necessary, make edits such as adjusting quantities, updating delivery terms, or adding items.

Step 6. Save the Sales Order

  • Click Save or Save & Send to finalize the Sales Order.
  • Once successful, the document will be tagged as TRANSFER.FROM.
     

 


Application 

Example 1 — Direct Conversion

You quoted 25,000 for Legal Services under Quotation #QT2509/001. The customer accepts. Using the transfer function, you bring the quotation into a Sales Order. The Legal Services line with the same price and details is now part of SO #SO2509/001.


Result: The Sales Order is instantly ready for fulfillment, with no retyping required.

 

Example 2 — Consolidating Quotations

A customer approved two separate quotations for different items but wants them delivered together. You can transfer both quotations into a single Sales Order, review the combined details, and finalize the order.


Result: A single, accurate Sales Order captures multiple accepted quotations for smoother processing.
 


 

Example 3 — Partial Conversion

A customer accepts only part of a quotation (e.g., 3 out of 5 items). Using the transfer function, you bring the quotation into a Sales Order, adjust the items, and finalize only the approved ones.


Result: Flexible handling of customer requests without creating duplicate quotations.
