Concurrent User Licensing

Overview:

A Concurrent User License allows multiple users to access QNE Software based on the number of
licenses purchased. Unlike named user licenses, which assign access to specific users, concurrent
licensing enables any authorized user to log in as long as the total number of active sessions does
not exceed the purchased license count. This flexibility is beneficial for businesses with multiple
employees needing periodic system access without requiring individual licenses for each user.


Scenario:

ABC Corporation has a team of 5 employees, but only 3 need to access QNE Software
simultaneously. Instead of purchasing 10 individual licenses, they opt for a 3-user concurrent license,
allowing any five employees to log in at the same time while others wait for an available session.


Solution:

1. Update User Account Maintenance

On the Navigation Pane > Account > Users.


For Standard Users:

Unlimited accounts can be enrolled, but only three users can access a single company concurrently.
The user count is displayed as “number of concurrent users active / 3”.


For Accountant Users:

Only one accountant can be enrolled. The accountant role is not counted towards the concurrent user
total. The accountant user should be displayed as “1 of 1 accountants” upon enrollment in the
system.


2. Manage License Count During Login

The system displays this prompt: > "This company has reached the maximum number of 3
Concurrent Standard Users at the moment. Please select another company or try logging in again
later”. Users can select Switch Company or Signout.


3. Use the Connected User Indicator

To monitor active users, click the Connected Users button, which shows the Display Name, Email
Address, Browser used, User Type (Standard or Accountant), and Origin link.

Each device or browser counts as a separate session. For instance, the same user accessing the
database on two devices will occupy two slots.


4. Log out or Company Switch

When a user logs out of the company or switches to another company, the Connected User Indicator
automatically updates in real-time. If a user trying to log in requests someone with multiple sessions
to log out, the concurrent user count will decrease upon their logout, allowing the new user to log in.


Application:

A retail business with multiple shifts uses 3 concurrent licenses to allow seamless login for
encoders and accountants. During peak hours, encoders use the system for transactions, while in off-
peak hours, the accountant logs in to review financial reports without exceeding the license limit.


This setup ensures cost efficiency while maximizing software accessibility for the entire team.
