How to Set Up BIR Info in Company Profile

Modified on Fri, Aug 22 at 2:26 PM

Overview:

Setting up the correct BIR information in your Company Profile ensures accurate tax reporting, proper BIR form generation (e.g., VAT returns, 2307), and compliance with updated tax classifications under the Ease of Paying Taxes (EOPT) Act. This setup is essential for both new users and those updating their company information after BIR-related changes (e.g., CAS approval, reclassification).

Scenario:

Your company has just been approved by the BIR under CAS, and you need to update your company profile to include your new taxpayer classification and CAS details. Or maybe you're generating BIR reports like 2307 or 2550M, but your company or signatory information is missing or incorrect. Setting up the BIR section in your Company Profile helps ensure that your reports are accurate and compliant with BIR requirements.

Procedure:

1. Go to Company > Company Profile.

2. Go to the BIR tab and click Edit.

3. Fill in the following fields:

  • Category
    Choose from:
    • Private - For regular businesses (corporations, partnerships, sole proprietors)
    • Government - For government agencies or Government-Owned and Controlled Corporations (GOCCs)
  • Classification
    Choose from:
    • Individual – For sole proprietor (Input: First Name, Middle Name, and Last Name)
    • Non-Individual - For companies or organizations (Input: Trade/Company Name)
  • Taxpayer Classification by Gross Sales (As per Republic Act No. 11976 - Ease of Paying Taxes Act)
    Choose from:
    • Micro – Less than PHP 3,000,000
    • Small – PHP 3,000,000 to less than PHP 20,000,000
    • Medium – PHP 20,000,000 to less than PHP 1,000,000,000
    • Large – PHP 1,000,000,000 or more
  • Taxpayer Type
    Choose from:
    • VAT Registered – Required if your gross annual sales exceed PHP 3M, or if you voluntarily registered as a VAT taxpayer even if your sales are below the threshold
    • Non-VAT Registered – Applies to businesses with gross sales not exceeding PHP 3M and that did not opt for VAT registration
    • Percentage Tax – For Non-VAT registered businesses that fall under certain tax categories (e.g., self-employed professionals, small businesses), subject to 3% percentage tax
    • N/A – Only used if taxpayer type is not yet defined or not applicable (rare cases; often temporary during setup)

4. Fill in the following details if available:

  • Revenue District Office (RDO) - Your Revenue District Office code (as shown in your Form 2303)
  • CAS Fields (if applicable)
    • Computerized Accounting System (CAS) Permit Control Number
    • Date Issued
    • BIR CAS Accountable Forms - Select the forms you want to display the BIR CAS Information
  • Signatory Details
    • Signatory Name
    • TIN of Signatory
    • Digital Signature – Upload image to auto-fill reports/forms

Notes:

  • Signatory details will automatically appear in applicable BIR reports. If there is no authorized signatory yet, you may leave this blank.
  • You may leave CAS Fields blank if you are not CAS-approved.

5. Click Save Changes to apply your updates.

Application:

Once your BIR information is set up properly:

  • Your BIR reports (2550M/Q, 2307, etc.) will reflect the correct taxpayer information, signatory, and classifications.
  • The system will recognize and apply proper tax logic based on your selected taxpayer type (e.g., VAT, Non-VAT, Percentage Tax).
  • For CAS-approved companies, the system will reflect your CAS approved details in applicable outputs.
  • This setup also helps the system check and apply the correct details automatically when generating BIR returns or reports.
